AI Automation for Small Businesses

Automation earns its keep when it takes over the work nobody has time to do twice.

This is the category page. Three systems live underneath it, plus the industries they are already shaped for, and most companies start with exactly one of them rather than buying the whole set at once.

Which systems can actually be automated?

We can automate most anything! And yes, you DO have a magic wand! (Almost.) Three systems, then the industries they are already built for. Each links to a page that covers scope, pricing shape, and what it takes to run.

The three systems

Built for these industries

Same systems, already shaped around how one trade or practice actually answers its phone.

Where would we start? Easy.

With a chat to see where we can save you time. You have a magic wand — now wave it. Any discovery pricing will be credited towards your build(s).

  1. We sit down and listen

We'd chat with you and your team and ask the honest questions — warts and all. No pitch deck, no demo. Just a real conversation about where things are falling through the cracks.

  2. We come back with a plan

We'd listen, then build a phased plan starting with the easiest fixes to show the quickest return. No 18-month roadmap — just the thing that pays for itself first.

  3. We build it and show you how it works

We'd propose the stages, build your automations, and show you and your team how to use them. These solutions sit on top of or next to your current processes with no disruption — except the extra weekly hours you'd get back.

  4. You own everything

Every automation is yours. You own it. We charge a fair monthly fee to maintain it for you so it's always working, but the accounts, the credentials, and the data are yours from day one.

What does AI automation cost?

AI Receptionist

$2,300 build$699/mo · 4–5 weeks

For businesses losing money to unanswered calls. Every call answered, every caller captured, every message where you can find it.

What you get

  • 24/7 AI phone answering with a custom greeting and conversational personality
  • Business-specific knowledge base: hours, services, service areas, FAQs, basic pricing and policies
  • Lead identification, caller information capture, and basic qualification
  • Call routing, escalation, and human transfer
  • Call summaries, transcripts, and outcome tracking
  • Email notifications and basic reporting
  • Calendar integration with appointment requests, booking, confirmations, and reminders
  • Missed-call text-back recovery
  • One CRM or lead-management platform connected
  • Monthly: monitoring, conversation review, prompt refinement, knowledge updates, workflow maintenance, troubleshooting, monthly performance review

Capacity

500 voice minutes · 250 texts · 1 phone number · 1 calendar

What's not in this tier

Website chat, follow-up sequences, lead scoring, email automation, review automation, lead re-nurture, marketing content. Receptionist answers the phone. It does not chase the ones who didn't book.

AI Operating System

Custom12–16 weeks

For multi-location businesses and anyone who wants the whole operation running, not just the phone and the follow-up.

Discovery: $2,500 — required first step. We map your systems, call volume, integrations, locations, and where the time actually goes, then deliver a written scope with a fixed quote. The full $2,500 credits toward your build. If we're not the right fit, you keep the scope document and owe nothing further.

Everything in Lead Engine, plus scoped to fit

  • Marketing layer — SEO, AI-search optimization, article production, social, newsletter, content calendar
  • Sales agent — qualification, routing, follow-up, booking, re-engagement, notifications
  • Customer service agent — FAQs, scheduling, status inquiries, escalation
  • Operations agent — reporting, data movement, internal notifications, data entry, document processing
  • Voice across multiple call flows, departments, and locations, including outbound follow-up
  • Private knowledge base so agents answer from your actual documentation
  • Custom integrations — your CRM, ERP, APIs, and the systems you already run
  • Custom dashboard and advanced reporting
  • 30-day post-launch stabilization

Ongoing is scoped to what you actually use and quoted with the build.

What should you know before automating anything?

The questions that come up in nearly every first call.

It does. Sales, invoices, and payments land in QuickBooks on their own, in the right categories, without anyone typing them twice.

Most small businesses run a version of the same evening: export a report, open a spreadsheet, key it in, hope the numbers agree. That is an hour a week you are paying for with your own time.

We connect the systems you already use — QuickBooks, Xero, whatever your bookkeeper prefers — and handle the setup on our end. You do not need to understand how it works. Your books just stay current instead of getting caught up, and when your accountant asks for something in March, it is already there.

Almost never. Most builds sit on top of the tools you already pay for, connecting them rather than replacing them, because a migration adds risk and cost without adding revenue. If a tool genuinely cannot support what you need, we will say so before you spend anything.

Every system ships with a defined fallback, which usually means handing the interaction to a person and logging what happened. Automation that fails silently is worse than no automation, so the failure path gets designed at the same time as the happy path.

All of it, and that is the intent. Documentation and credentials transfer at handover, and plenty of clients run their systems without ongoing help after the first month.

No. Business data stays inside the accounts you control, and any vendor in the chain is chosen with that constraint in mind.

No. Monthly plans run month to month and you can cancel any time with 30 days notice.
